What data do we collect?
We may obtain contact details, names, email addresses, phone numbers, location information and other identifiers about activists, members of the public and the police present at actions.
We may also make recordings of online meetings, webinars or other online events for the purpose of documenting the event, creating and providing transcripts or summaries to attendees and allowing others that couldn’t attend to view the recording. Recordings may include video, audio and any content shared during the event together with attendee names and images. We’ll advise in event invitations and at the start of the event when recording will take place and the reason for recording.
How do we collect your data?
The personal data involved may be provided by the individual or provided by legal observers or others present at a protest from their personal observation, or it may be from other publicly accessible resources (like social and other media).
We also process personal data in the form of:
Names, phone numbers, and email addresses and any other personal information provided by people contacting us by email, over the phone, at a face-to-face meeting, through Zoom, Eventbrite registration or sign ups from social media.
This processing is on the basis of our legitimate interests as an organisation in supporting individual activists and keeping activists up to date.
How will we use your data?
We will only ever contact you directly using the methods for which you have given your clear consent.
We’ll email activists who have subscribed to our mailing list, and occasionally send texts or make phone calls to subscribers about campaigns, events, opportunities to get involved and support systems.
Only those authorised to process your data can access your data. We work hard to ensure our staff and volunteers can only see the data they need to perform their tasks. All our volunteers are trained to understand data protection and what they need to do to keep your data secure. We review our data awareness training regularly to ensure it is up to date. We ensure volunteers are given appropriate data awareness and protection training where they are responsible for handling data, for example, if they are collecting signatures at an event.
How do we store your data?
We ensure that all personal data is subject to access controls, and is stored on secure, encrypted servers. We will only process personal data outside of the EU where we are sure there is an adequate level of protection or there are appropriate safeguards in place. We use pseudonymisation when sharing personal data, where appropriate.

We endeavour to ensure there is consent to the sharing of personal data from the key protester (e.g. the arrestee) but the sharing of relevant personal information about other people present at the protest is based on the legitimate interests of the Take Back Power Legal Support Team.

We use an external Customer Relationship Management (CRM) platform called Catalyst to support the management of our relationships with clients, partners, and prospective customers. Although CoolData provides the CRM software, all personal data processed through this system are hosted and stored on our own secure servers.
Catalyst acts as a data processor on our behalf, and we remain the data controller for all personal information processed within the CRM. CoolData does not have independent access to, or control over, the data we store. We have entered into a written data processing agreement with CoolData to ensure that any processing carried out on our behalf complies with the requirements of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We apply appropriate technical and organisational measures—including encryption, access controls, and secure authentication protocols—to protect personal information held within the CRM from unauthorised access, disclosure, alteration, or loss.
